Email vs. Auto-Create

Ventla is a flexible platform designed to simplify event management and attendee engagement. One key aspect that can greatly impact both the participant experience and your administrative workload is how participants create their accounts/profiles in the app. Ventla provides two main methods:

  • Email Registration (default) – The participant’s email address serves as the unique key for linking all of their information.

  • Auto-Create (no email required) – The system automatically creates a random username, keeping the participant completely anonymous to you as an administrator and other participants unless they themselves provide details such as name.

Below, we explain briefly how each method works, along with the advantages and drawbacks of each approach. You’ll learn why email registration is generally recommended (full functionality, easier data management, etc.) and in which cases you might consider using Auto-Create, despite its more limited possibilities.

With Email Registration (Default)

When participants register using their email address, that email becomes their username (the unique key that connects all of their information across both the app and the admin interface). This setup makes it straightforward to store and retrieve details such as name, groups, my information, and any other profile data.

If a user deletes and reinstalls the app, registering again with the same email address automatically restores all previous information. It functions much like social media platforms—just as Facebook or Instagram uses a single email to give users access to their account, messages, and profile, so does Ventla.

Without Email Registration (“Auto-Create”)

When participants register without providing an email address, the system randomly generates a username (for example, 1234_abcd1234xyz). While this may keep participants completely anonymous, it also limits certain features—like group assignments, or storing other personal details (My information)—since no personal identifier may be tied to the account/participant.

Additionally, if a participant deletes and reinstalls the app, a completely new username is created and you may experience duplicates in the participants list. The system then treats that person as a brand-new user, making any previously stored information inaccessible for them. Continuity is lost, and there’s no way for participants to recover past data or activity once the app is removed.
